Idaho Road Regular Meeting April 1, 1997 A regular meeting of the Apache Junction Library Board of Trustees was held April 1, 1997 at 6:03 p.m. at the Apache Junction Library pursuant to notice as prescribed by law. Roll Call Present Rineholt, Pamela Gardner, Barbara Connolly, Cheryl Griffing, Kendra Schoeph, John Little, Millie Staff Pamela Loui, Library Director I. Acceptance of Agenda: 2. Acceptance of minutes for March 4, 1997 Regular Meeting: 3. Librarian's Report: Absent Motion was made by Cheryl Connolly and seconded by Pamela Rineholt to accept the agenda. Statistics are down some, but there was a problem with computers. Patron visits are increasing.There were many successful programs this month. The City Council approved the additional $14,000.00 to go with City of Apache Junction Library Board of Trustees Regular Meeting April 1, 1997 Page 2 4. Committee Reports: a. Community Treasure Committee: b. Public Relations: 5. Old Business: a.Further discussion on the Library's budget request for 1997/98: Ameritech's Dynix. Everything is going well.Essays will be finished on April 24.Library Board members will pick up a group of essays and choose the best ones.A meeting will be held to determine the finalists.Trustees should all call the library on the 25th regarding picking up the essays.The date for the final presentation has not yet been set. The awards are as follows: Grand Prize --$50.00 cash, Runner -Up Grand Prize—Arizona Diamondbacks T-shirt; Superperiod winner—free passes for Two to Laser Tag (13 passes total); Superperiod runner -up --free passes for two to AMC Movie Theatre (13 passes total). There was no Public Relations report. Ms. Loui reviewed the Budget Summary. Proposed changes are desperately needed items; there is nowhere to cut items without negative impacts to the Library services.Ms.Loui reviewed the Proposed Budget section by section. Two people need to be added to City of Apache Junction Library Board of Trustees Regular Meeting April 1, 1997 Page 3 x. Endowments: 6. New Business: a. Reminder of terms due to expire June 30, 1997: b.Discussion on "Trustees Aggressive and Dynamic Role" by Jack Short: personnel.The supply budget needs to be increased due to the fact that they have spent most of this year's supply budget already. Book monies have also been increased due to cutbacks in funding from the County.The Budget was turned in to City staff a couple of weeks ago, but they have yet to respond. Motion was made by Cheryl Connolly and seconded by Millie Little to accept the budget as proposed.Motion passed unanimously. John Schoeph suggested discussing the Endowment and Fund-raising Program; but since this was not posted on this month's agenda, it was recommended that it be added to next month's agenda items. Cheryl Connolly's and Pamela Rineholt's terms expire this year.Ms. Loui will discuss with them whether they wish to continue on the Board.The City Council is interviewing all applicants, including incumbents. There will be a Special Board meeting at the end of June, which all current members need to attend.The new Board positions take effect July 1. John Schoeph reported that Jack Short will allow copies of his material for Board meetings.Ms. Loui will retain the original.Library trustees must be City of Apache Junction Library Board of Trustees Regular Meeting April 1, 1997 Page 4 self -motivated.They must be creative and give input.They should debate issues and be creative beyond attending meetings.Trustees are library liaisons, hold public forums, g_et involved with legislative issues. They can have a lot of clout it they take time to talk to legislators.Our Board is created by the City Council, and is not a true legislative body.Trustees need to be aware of other area libraries.If anyone has any suggestions for more involvement or more public visibility, check the Trustee Handbook for appropriate areas. Ms. Loui announced a County Library Ameritech demo on April 17, 1997, Thursday afternoon, in Florence. See_her for details. 7. Call to the public:None present. 8. Requests for future agenda items: 9. Adjournment: The following items were recommended for discussion at the next Board of Trustees meeting:endowments and donations, patron training video that demonstrates how to use library catalog, Committee Reports (Community Treasure and Public Relations), Budget and the Summer Reading Program.
