Regular Meeting
September 2, 1997
A regular meeting of the Apache Junction Library Board of Trustees was held
September 2, 1997 at 6:00 p.m. at the Apache Junction Library pursuant to notice as
prescribed by law.

Motion was made by Barbara Gardner
and seconded by Pamela Rineholt to
accept the agenda.Motion passed
unanimously.
Motion was made by Kendra Griffing
and seconded by Pamela Rineholt to
accept the minutes for the July 1, 1997
Regular Meeting.Motion passed with
three ayes and one abstention.
None.
Mrs. Loui distributed the revised final
page of the July program statistics from
last report.
This is National Library Card Sign-up
Month.The Library will be holding a
contest for children where they can

5. Old Business:
a. Update of library budget request
for 1997/98:
guess the number of gumballs in the
gumball machine.Winner will receive
a year's supply of gumballs.
Under "Youth Services", Desert
Shadows Middle School will have
Library Information Skills as part of
their curriculum this year.The library
will be holding tours for the Seventh
Graders again this year.
Library staff has been busy with
collection codes for Dynix.
The library has hired two new library
clerks.
The library will be receiving a Dynix
training module this month.Staff hopes
to have the new system operating by
November.
There will be a regional workshop on
Government Documents Wednesday,
September 17.
Under the monthly report, August 1997
activity was similar to August 1996.
Central Arizona College people are
involved in the Literacy Program in the
afternoons, and they have a computer
person to assist patrons Tuesday -
Thursday.
The budget went through with some
additions Mrs. Loui had recommended.
City Council restored some of the cuts
the City Manager had made.

6. New Business:
a. Discussion on possible methods for
finding the Friends of the Library
endowment:
b. Discussion on new public relations
ideas, such as welcome packets, and
appointment of new public relations
committee:
c. Discussion on by-laws and/or
appointment of a by-laws review
committee:
d. Discussion on Coolidge joint meeting
request:
John has met with the Baptist Foundation
of Arizona and The Arizona Community
Foundation.The Friends of the Library
will meet September 9 at 8:30 a.m.
They are requesting that we hold off
discussion for one month until they can
have their meeting.There is a $5,000
minimum investment to get into the
Foundation.John will present his
findings to the Friends.
Public Relations Committee is looking
into creating a "new -comers' packet."
If a Welcome Wagon is created, perhaps
Public Relations Committee could supply
library information.The City is still
looking for new Library Board members.
The City Attorney would have to review
any recommendations or changes.
Discussion was tabled until the Board
gets its new members.
John will respond to the Coolidge letter
indicating our interest in a joint meeting.
Mrs. Loui reminded the members that
four or more members of the Board
decide to attend, the meeting has to be
posted as "public."Mrs. Loui said

she would respond by letter.
e. Discussion on library policies and/or
appointment of a policies review
committee:Mrs.Loui proposed a change on page 28
of the Policies, second paragraph, to
replace "does not censor access to
materials" with "cannot be held
accountable for" indicating that library
staff are not members of the
"cyberpatrol."There is no way to totally
protect Internet users or other patrons
from viewing screens.The computers do
have privacy screens.It was suggested
that Board members get updated copies
of the Policies for review, and then
establish a Policy Review Committee.
The library currently has a "reference
policy" on pg. 13.Other public libraries
have eliminated the Reference Librarian
doing criss-cross directory questions by
phone due to time and cost.This is
putting an additional strain on our
services.The question was raised as to
whether we could ask for an A.J. Library
card number before researching
questions in order to still provide this
service to our own patrons while
eliminating calls from other sources.
Weeded materials go to Friends of the
Library for sale.Many duplicate
materials are being weeded.
The library may receive gifts separate
from the endowment fund.

Board members elected new officers as
follows:
President:Motion was made by Kendra
Griffing and seconded by Barbara
Gardner to elect Pamela Rineholt as
President.Motion passed unanimously.
Vice President:Motion was made by
Pamela Rineholt and seconded by
Barbara Gardner to elect Kendra Griffing
as Vice President.Motion passed
unanimously.
Secretary:Motion was made by Barbara
Gardner and seconded by Pamela
Rineholt to elect John Schoeph as
secretary.Motion passed unanimously.
Mrs. Loui mentioned that when staff
hires a new secretary, he/she will come
to the meeting and take notes, so that
this would no longer be a function of the
Board secretary.
