Regular Meeting
January 5, 1999
A regular meeting of The Board of Trustees of Apache Junction Public Library was
held January 5, 1999 at 6:03 p.m. at the Apache Junction Library pursuant to notice as
prescribed by law.

The question of accepting the agenda
was placed before the Board and was
accepted by general consent.
The question of accepting the minutes
for the December 1, 1998 Regular
Meeting was placed before the Board
and was accepted by general consent.
Peter read a note he received from
Theresa Nesser apologizing for missing
the December 1, 1998 Regular Meeting
and the January 5, 1999 Regular
Meeting.

4. Committee Reports:
a.Community Relations Report:
5. Librarian's Report:
Joyce Poteet reported that she will have
more to report on at the February
meeting.
Pam Loui reported that she and Peter
Nolan presented the planning process at
the Council Work Session on January 4,
and it went very well.She stated that we
have the ability to go ahead with the
planning process.
Pam also reported that December was
very busy.Patron visits were up over
last year and volunteer hours were at
491.The library is continuing the
weeding of non -circulating items and
adding books but would like to add even
more. The library programs consisted of
two Story Times with 23 attending, the
Sweet Adelines had a stand-up crowd
with 180 attending, a small business
program had 21 in attendance and 11
computer classes had 51 attending.The
Teen Advisory Board presented "Santa's
Magic Hat" puppet show.
Registration opened January 4, 1999 for
adult computer classes in Word, Internet
and E-mail and 521 slots were filled
from January through March.Pam
reported wanting to add three classes a
week.She has already asked another
student to teach and has three volunteers
to help with the additional classes.Pam
also reported that the library did not
have a good response for the elementary
student computer classes and may try
again in the summer.

a.Update on Friends of the Library
Endowment Fund:

a.Discussion and vote on the
assignment of planning committee
members for the "Planning for
Results" process:
John Schoeph reported on the article in
the Arizona Republic about a donor
contributing $2,300 to the fund and
wanting to remain anonymous.There
was also a call from Mesa from a donor
who wants to contribute books.
John stated that future actions will
include placing brochures in key
locations, newspaper publicity and
reaching attorneys in the area by mail to
inform them on the availability of the
fund.Also they need to get names ofpersons who may have wills (2ndor 31(1
generation families) so they can contact
these people to let them know of this
fund.
Peter Nolan presented a list of eleven
nominees consisting of the following
persons and stated that the committee
needs to assign its own leader:

A proposed schedule of meetings is as
follows (7:00 p.m. Thursdays at the
Library):
January 21, 1999- Orientation
February 4, 1999
February 18, 1999
March 4, 1999
March 18, 1999
April 1, 1999
April 15, 1999
April 29, 1999
May 6, 1999
May 17/18, 1999 - Present to Council
John Schoeph stated that he feels people
from the surrounding area should be
represented and Peter stated that the
planning process will take that into
account.
Pam Loui stated that everyone in Pinal
County can use any other Library in the
county and we receive a small amount of
book money for doing this.We also
have reciprocal borrowing in Tempe,
Chandler, Gilbert and Mesa.Pam stated
that she will work to see that this
continues.
Motion was made by John Schoeph to
form a Library Planning Committee
composed of those nominees presented
by the nomination committee and that

b.Approval of Community Relations
letter:
c.Volunteer Recognition Brunch:
they be informed by letter; the
committee process to tentatively be
completed by May, 1999.The motion
was seconded by Pamela Rineholt and
the vote passed unanimously.
The purpose of the community relations
letter is to inform and request an
opportunity to present the slide show and
hold a question and answer period.
Suggestions were made to change the
word "development" to "organization",
remove the sentence "The program will
begin February 1, 1999." and add a
space for the number of brochures
requested, at the bottom of the letter.
Pam Loui reported that the slide
presentation is not quite ready.The
exterior photos are beautiful but need to
retake some inside photos.
Motion was made by Pamela Rineholt to
approve the Community Relations letter
as amended, with the provision that it be
held until the slide presentation and the
process of presentation are approved by
the Board.The motion was seconded by
John Schoeph and the vote passed
unanimously.
Pain Loui reported that the Volunteer
Recognition Brunch will be held on
Friday, January 22, 1999 in the City Hall
Conference Room and breakfast items
will be served.Awards for service for
July 1, 1997 through June 30, 1998 will
be made.Pam invited Library Board

Members to attend and asked that they
call Trish Pelletier at the Library and let
her know if they are planning to attend.
Trish will be able to give you the exact
time the brunch will be starting.
