Idaho Road Regular Meeting November 8, 2001 A regular meeting of The Board of Trustees of Apache Junction Public Library was held November 8, 2001 at 6:04 p.m. at the Apache Junction Library pursuant to notice as prescribed by law. Roll Call Present Absent Barbara Gardner Stephen Flynn Virginia Foat Beverly Kimball -Wright Barbara Mueting Theresa Nesser Staff: Pamela Loui, Library Director and Spencer Paden, Library Manager 1.Acceptance of Agenda: 2.Acceptance of minutes for Motion was made by Barbara Gardner and seconded by Barbara Mueting.Motion passed unanimously. September 13, 2001 regular Meeting:The question of accepting the minutes for the October 11,2001 regular Meeting was placed before the Board and was accepted by general consent. 3.Call to the Public:No response. 4.Correspondence and Communications:None. 5.Librarian's Report:Pam discussed a major enhancement that took place this week. The Remote Patron Authentication is now working.Remote Patron Authentication is a group of databases paid for by the library, and made City of Apache Junction Library Board of Trustees Regular Meeting Page 2 available to patrons on the Library's website.To access this information you must go to the website - www.ajcity.net. Click the option for "Library" followed by the option for "Databases". Enter your 14- digit library card number.Once you have entered your card number you will have access to the various databases. Pam reported that the statistics for October have been exceeded from one year ago. The Start Smart deposit collections are back in operation.Audiotapes, videocassettes, and dvd's have also increased.In-house computer use has increased from last month.Magazines have increased, but many magazines are kept for research purposes and numbers will not increase drastically.In-house video use shows a small decline compared to one year ago.Patron visits including new patrons have both increased from one year ago but declined some from last month.Books continue to be added to the collection.Books on cassette, cd's, videocassettes, dvd's, and music cd's have all increased since last year.We continue to withdraw books from the collection as they become worn or outdated.Volunteer hours are at 410.25 with some of our volunteers returning for the winter.Eight regular storytimes and four babytimes were held.Two tours took place with a total of 29 in attendance. A "Winnie the Pooh" birthday party was held with 125 in attendance.There were "Mother Goose" games where Liz Burks portrayed Mother Goose.One "Teen" book discussion group took place in addition to two TAB meetings.Three computer classes and four sessions of the writers club were also held. A "Mystery" book discussion and a "Potpourri" book discussion were held. ABI Inform training was conducted for reference staff and included people outside City of Apache Junction Library Board of Trustees Regular Meeting Page 3 6.Old Business: a.Board vacancy update. of the library.ABI Inform is a business database purchased by the state library for one year. All libraries that are business information centers or EDIC (Economic Development Information Centers) are participating.The Kiwanis Service Club had one presentation.The Literacy program had 17 student visits with 26.5 hours for literacy.A quarterly reference survey was conducted the week of October 22-27 and received 546 requests with 506 completed the same day they were requested.Of these requests, 486 were done on hardcopy and 20 were answered on-line.Pam reported that efforts are in place to establish the number of times people are accessing each of the databases. Pam reported that one person appeared and was interviewed by the Council at the Monday night work session.A second person was scheduled to interview, but was unable to attend due to an emergency. After hearing of the other person's emergency,Pam wrote a memo to the council to advise them that this person was still interested in interviewing for the board position. The council decided to continue with an interview at the December meeting. b.Review discussion, and possible vote on recommended changes to Library Policies Barbara Gardner had minor changes to add. Changes were reviewed and modified during the meeting.Motion was made by Barbara Gardner to have Sancie type up a finalized version of the policy to submit to the city attorney for review. Upon completion, the policy will be reviewed at the next board meeting. A vote was taken and passed unanimously. City of Apache Junction Library Board of Trustees Regular Meeting Page 4 7.New Business: a.Discussion and possible vote on parental responsibility disclaimer. b.Teen Advisory Board annual report to the Library Board of Trustees. Pam drafted a sample disclaimer for board members to review.The disclaimer was modified and will read as follows: ATTENTION PARENTS As of January 1, 2002, the library will no longer require parental permission for Internet access by minors.Users are still required to follow the library's policies and procedures.Parents or guardians, not the library staff, are responsible for their children and the materials they access. It is recommended that Parents or guardians supervise their children's Internet sessions. Motion was made by Barbara Gardner to accept the amended disclaimer. Motion was seconded by Virginia Foat.All members present were in favor. Phillip Pace, President of the Teen Advisory Board reported on the events for the past year.Members have increased to 19.Programs for the year included the "Teen Nite Out" with 367 students in attendance.A "Teen Chat Café" was held and provided a place for teens to come talk about different issues.Refreshments, music, and entertainment were also provided for this event.Currently, the Teen Advisory Board is working on a Christmas program entitled "Mother City of Apache Junction Library Board of Trustees Regular Meeting Page 5 c.Report on events with the Friends of the Library Goose's Christmas Surprise."The Christmas program will be held at Four Peaks Elementary School, and Santa Claus will be there to greet the children.The "Teen Compound" which replaced the government documents area was also introduced this year. On a monthly basis a "Teen" book discussion is held.The book for this month is the Sorcerer & the Stone. A newsletter and website are in the working phase in addition to preparation of a "Lost Dutchman Day" parade. Evelyne Chaffey spoke on behalf of the Friends of the Library.The Friends recently purchased a new Curio Cabinet in their area that is used for gift sales.A semi-annual book sale will take place on November 17th from 9:00 — 5:00.Reading is Fundamental is currently in progress for the first distribution of the year.Books have been distributed to various schools. Evelyne has asked that Library Board members stop and introduce themselves to the FOL that are working in the gift shop area when they come in. d. Verification of day and time for the Regular Library Board meetings for 2002.The City Clerks office will be publishing next year's calendar within the next couple of weeks.Motion was made by Beverly Kimball -Wright to continue the Library Board meetings on the second Thursday of each month at 6:00 p.m.Motion was seconded by Barbara Gardner.All members present were in favor. 8.Requests for future agenda items Old Business.
