Idaho Road Regular Meeting March 7, 2002 A regular meeting of The Board of Trustees of Apache Junction Public Library was held March 7, 2002 at 6:15 p.m. at the Apache Junction Library pursuant to notice as prescribed by law. Roll Call Present Absent Virginia Foat Barbara Gardner Beverly Kimball -Wright Theresa Nesser Barbara Mueting Stephen Flynn Staff: Pamela Loui, Library Director 1.Acceptance of Agenda: 2.Acceptance of minutes for February 14, 2002 regular Meeting: Pam Stoelk The question of accepting the agenda for the March 7, 2002, regular Meeting was placed before the Board and was accepted by general consent. Motion was made by Barbara Mueting to accept the minutes for the February, 2002, regular Meeting.Motion was seconded by Beverly Kimball -Wright and was accepted by general consent. 3.Call to the Public:None present. 4.Correspondence and Communications:None. 5.Librarian's Report:Pam notified the Board that the Public Libraries Association Conference will be held in Phoenix from March 13th — March City of Apache Junction Library Board of Trustees Regular Meeting Page 2 15th.Free exhibit passes are available for any interested Board members.Pam reported another busy month for the Library.Increases continue with books, audiotapes, and videocassettes.New patrons continue to register.Books, videocassettes, and DVD's were added to the collection Children's programs continue this month with eight regular story times and 138 in attendance.There were four baby times with 76 in attendance. Three school visits included 90 attendees. Two parent/child workshops were held with 38 in attendance.There was one Tots' n Books program with 11 attendees and seven RIF Distributions with 313 in attendance.Young adult programs included one Teen Book discussion with 5 attendees.A TAB meeting was held with 15 in attendance.The Library presented a float at the Lost Dutchman Days parade and included nine participants from TAB and library staff Adult events included one "Potpourri" book discussion and one "Mystery" book discussion.A harp program was presented on Valentine's Day and brought 52 attendees.There were 4 sessions of the Writers Club with 37 in attendance and three "one on one" PIT stop sessions were held. There were 14 computer classes with 153 attendees. There was one neighborhood visit with 45 attendees. 6.Old Business: a.Discussion on 2002/2003 Budget. Pam reported that budget pages have not been received yet from the City.Pam will provide budget information when it is available. b.Review and possible vote on the Emergency/Disaster Plan.Pam discussed changes made to the Emergency/Disaster Plan.The following changes have been made: City of Apache Junction Library Board of Trustees Regular Meeting Page 3 7.New Business a.Review and possible vote on the Procedures Manual 1.Pages 30-74 were removed from the Plan. 2.A table of contents was added to the document. 3.The location of the silent alarm/panic button was added to page 5. 4.A larger picture showing the location of lock box was added on page 23. 5.Location of thermostats and "how to" operation of the digital thermostat were added to page 29. 6.Emergency service and supply phone numbers (pgs. 33 and 34) were verified for accuracy. Additional changes made by members of the Library Board were noted as follows: 1.Delete first sentence on page 9. Sentence is not appropriate within the current content. 2.Add locations of panels on pg. 11. 3.Add locations of exits on pg. 16. 4.Add locations of alarms/extinguishers on pg. 19. The following changes were added by Library Board members: I.Paragraph three of page one, "Requirements to Obtain a Library Card," was modified to read as follows: "For a child under 14 or for a minor age 14— 17 who does not have a valid I.D. and/or proof of address, a parent or legal guardian must accompany him or her and sign the application for that child. 2.The word "refundable" was added to the $15.00 per hour cleaning deposit on page 4. City of Apache Junction Library Board of Trustees Regular Meeting Page 4 b.Report on events with the Friends of the Library 8.Request for future agenda items: 3.All instances of the the word "you" were replaced with the word "patron" on page 6.Also, the second sentence in number 9 was modified to read as follows: "Since these charges will be passed on to the patron, he or she must let library staff know if he or she is willing to pay before the item is ordered." 4.Number I on page 9 should read as follows:"Before using the video viewing center, the patron will sign -in at the Service Desk. A motion was made by Barbara Gardner to conditionally accept the Library Procedures subject to final approval at the next Library Board meeting.Beverly Kimball -Wright seconded the motion.A roll call vote showed all members present were in favor. Evelyne Chaffey spoke on behalf of the Friends of the Library.FOL book sales are doing well. In addition, $1,000 has been received from the Greyhound Park as well as a grant received for $3,700 for the RIF program.The Library's children and adult programs will continue to be funded. Membership within the Friends organization has declined.They are in need of people to be available on a scheduled basis at the Book Nook.The Reading is Fundamental program will begin its third book distribution in April.This program provides hardbound books for preschoolers to keep. The Friends of the Library now serves 6 preschools in the Apache Junction area. Old Business. Discussion on 2002/2003 Budget Review and possible vote on the Emergency/Disaster Plan.
