Idaho Road Apache Junction, AZ 85219 Special Meeting June 27, 2002 A special meeting of The Board of Trustees of Apache Junction Public Library was held June 27, 2002 at 6:00 p.m. at the Apache Junction Library pursuant to notice as prescribed by law. Roll Call Present Absent Virginia Foat Kimball -Wright, Beverly Mueting, Barbara Nesser, Theresa Staff: Pamela Loui, Library Director 1.Acceptance of Agenda: 2.Discussion on and approval of Library Board Annual Report: Pamela Stoelk Stephen Flynn Barbara Gardner The question of accepting the agenda was placed before the Board and was accepted by general consent. Pamela Loui,Library Director,presented the Annual Report.A new web address has been added to the report in addition to the current picture of the Library Board members The Financial Statement is based on statistics from the Finance Department and reflects the revenues and expenditures for the General Fund (001), Grants -in -Trust Fund (004) and the Library Fund (007) through June 24, 2002. The Library collected statistical data.The report shows reference inquiries for the year at 34,892. Interlibrary Loans show 386 items borrowed and 267 items loaned.There were 4,062 new readers registered,bringing the Dynix registration to 27,301.Added to the collection were 7,013 book titles while 5,182 books were withdrawn.The total holdings in all formats is 106,360.A -V collections consisted of 6,601 videocassettes and 3,320 City of Apache Junction Library Board of Trustees Annual Report audiocassettes.There were also 17 newspaper and 151 magazine subscriptions.Circulation of books numbere4 168,738 over the past year.Start Smart circulation was 30,472.Also circulated were 233 magazines,85,480 audios and 100,372 videocassettes.The total circulation for the year was 349,662.Additional statistics show in-house computer use at 32,733.Volunteer hours for the year were 4,670 and patron visits totaled 222,934. Pam provided a narrative on Adult Services discussing the upgrades for the automated library system such as remote patron access.This service provides patrons the ability to use library databases from home via the Internet.The software makes online resources available 24 hours a day,seven days a week.Popularity of the computer classes remain, while the adult programs continue to draw audiences in the winter.Team building and staff development were stressed during the year.The Library Management Team is currently working on the Library Strategic Plan which will serve to guide the Library's efforts over the next three years. Pam presented charts to demonstrate the growth in use of the library.These charts show, an April thru March year because Pam initially prepares the charts to support the Library budget request. A variety of Youth Activities took place this year. The "Teen Compound", a product of teen requests for more space in the library, has become a favorite. As an introduction to the Teen Compound,the Library presented a "Teen Night Out" for Apache Junction students.A DJ provided music while teens watched movies,used computers,and just "hung out" in the newly created teen room.The event was a great success with 367 students in attendance. The Family Place Parent/Child Workshop got underway this year.The workshop was designed to let parents and caregivers of children ages one to three learn about library resources. Early childcare experts were available during the workshop to talk with parents. City of Apache Junction Library Board of Trustees Annual Report Youth events included special visits from Winnie the Pooh and Franklin the Turtle.Conrad Storad, Arizona author of children's fiction and non-fiction books on plants and animals of the desert,read stories to children in the Library.Start Smart baby kits continue to be distributed to the WIC (Women, Infant,and Children)office in Apache Junction. The Start Smart activity kit was also a popular item in the children's area. The Battle of the Books event took .place this year with all five Apache Junction Unified School District elementary schools participating.Fourth and fifth grade students answered questions from five children books.The winning school was Superstition Mountain Elementary School. Young Adult programs included The Teen Advisory Board (TAB) who hosted three "Teen Chat Café" events.A Teen Night was presented In May for teens 13 years and older.The highlighting event was the Teen Advisory Board's presentation of "The Weakest Link"game.Movies and board games were also included. "Extra! Extra! Read Your Way to the Ballpark". is the summer reading program where elementary and middle school children can participate. There was also the young adult summer reading program, "Lights! Camera! Action! Teen Summer Reading." The summer reading kick-off started with a Harry Potter Extravaganza event.Children attendees created a coat of arms and played snitch relay and quidditch at• the Library Park.They watched the movie, "Harry Potter and the Sorcerer's Stone and received Popsicles and a bag of "Bertie Botts Every Flavored Beans."The AJ kids club debuted in June.The first featured book was How to Eat Fried Worms.Participants made "dirt dessert" (chocolate pudding,crushed Oreos,and gummy worms) Additional meetings will be held throughout the remainder of the summer reading program.Speeial Tuesday events included Arizona Diamondback Organist Bobby Freeman, along with Diamondback Mascot, Baxter the Bobcat.Magician, Craig Davis did some wonderful magic tricks and a little City of Apache Junction Library Board of Trustees Annual Report juggling.Mary Hollan gave an energetic musical program and handed out stickers from the Phoenix Suns, Phoenix Coyotes, or Arizona Diamondbacks. Movies are shown each Thursday afternoon at the library during the summer. As a final note, our Youth Services Librarian put together a "word for our sponsors"to make everyone aware that all the youth services programs are sponsored, in part or in whole, by the Library's Friends of the Library group. Following the discussion,a motion was made by Beverly Kimball Wright and seconded by Virginia Foat to approve the Library Board Annual Report as written.Motion passed unanimously with a roll call vote.• 3.Adjournment:Meeting adjourned at 6:25 p.m.
