Idaho Road Regular Meeting October 10, 2002 A regular meeting of The Board of Trustees of Apache Junction Public Library was held October 10, 2002 at 6:04 p.m. at the Apache Junction Library pursuant to notice as _prescribed by law. Roll Call Present Absent Virginia Foat Beverly Kimball -Wright Theresa Nesser Stephen Flynn Staff: Pamela Loui, Library Director 1.Acceptance of Agenda: 2.Acceptance of minutes for August 8, 2002 regular Meeting: 3.Acceptance of minutes for September 12, 2002 regular Meeting: 4.Call to the Public: 5.Correspondence and Communications: Pam Stoelk Barbara Gardner The question of accepting the agenda for the October 10, 2002, regular Meeting was placed before the Board and was accepted by general consent. The question of accepting the minutes for the August 8, 2002, regular Meeting was placed before the Board and was accepted by general consent. The question of accepting the minutes for the September 12, 2002, regular Meeting was placed before the Board and was accepted by general consent. None Stephen Flynn passed around the written resignations of Barbara Gardner and Barbara Mueting for Board review.He also reported on correspondence he received from the Arizona State Library, Archives and Public Records.Library Board members are invited to attend a workshop called Friends Make Dreams Come True:The Payson Model,on November 1, 2002.This workshop discusses how Library Friends City of Apache Junction Library Board of Trustees Regular Meeting Page 2 6.Librarian's Report: groups can raise funds and bring positive publicity to their libraries.The workshop also addresses the legal establishment of Library Friends as a non-profit group and some of the outstanding services Friends groups can provide in the community.The workshop will held at the Payson Public Library, from 10:00 a.m. to 3:45 p.m. There is also an application for scholarship for the Arizona Library Association Conference that will be held on December 4-6, 2002.This scholarship will reimburse participants for some costs associated with the conference. Pam reported that she had sent a letter to Barbara Mueting along with a Certificate of Appreciation for her time served on the Library Board.Pam will also be sending Barbara Gardner a letter and Certificate of Appreciation for her time served on the Board. Library Card Sign-up month was a big success.There were 263 adults and 74 youth who signed up for cards.Pam reported that she will be attending the second session on the Maricopa County Commission on Productive Aging.This is part of the Life Options Library Project. The 20 th Anniversary of the Friends of the Library will be November 15th.There is a Friends of the Library Book Sale scheduled for November 16th. In honor of their anniversary, Library Staff will celebrate the FOL with treats for the public.A special reception will take place and a plaque will be awarded to the Founding Members of the Friends of the Library sometime in late October.Members of Friends of the Library have been selected to attend the workshop at the Payson Public Library and one Library staff member will also attend. Please notify Pam if you are interested in attending this event. Categories for September statistics exceed a year ago.Patron visits have City of Apache Junction Library Board of Trustees Regular Meeting Page 3 7.Old Business: a.Report on staff efforts for recruitment of potential new Library Board members. for 2002/03. 8.New Business a.A library patron has asked to appeal to the Board concerning his video fines and to discuss the issue of Library fines for videos with the Board. b.Report from the Friends of the Library with follow-up discussion on FOL projects. c.Discussion on accepting cash donations in addition to non- perishable food items during a future "Food for Fines" program. increased from one year ago. We continue to withdraw materials and add new materials to the collection.Several programs have been done for children, young adults, and adults. Pam requested Community Relations Manager, Pat Brenner, to advertise for Library Board recruitments.These recruitments were listed in the Independent and AJ News.Two talent bank applications have been received and both applicants are participants in the Citizen's Leadership Institute. The patron who requested this agenda item did not show up to the meeting.This item has been dismissed. Motion was made by Beverly Kimball- Wright to postpone the Friends of the Library Report until the next Library Board meeting. Motion was seconded by Theresa Nesser and was approved by consent. Announcement and discussion of upcoming AZLA conference, December 2002. to be placed within the Library.The Library has a non -solicitation policy.Library policies are generally content -neutral (if you allow for one you must allow for another). We have allowed for people to bring in cans of food even if they did not owe anything. Any change of this sort would require Council action and the Board would need to present that to Council.Pam suggested that Board members talk to Council members and see what their thinking is on the topic if they wanted to see the policy change. Motion was made by Theresa Nesser to Accept the resignation of Barbara Gardner with regret.Motion was seconded by Virginia Foat.A roll call vote was taken and passed unanimously. Virginia Foat nominated Theresa Nesser for Library Secretary.Theresa Nesser seconded the nomination and it passed unanimously. There will be an AZLA Conference on December 5 and 6 at the Phoenix Civic Plaza.The pre -conference will take place on December 41h.Members of the Friends of the Library will be attending the pre- conference entitled "Effective Membership Programs for Friends". Library Board members were asked to contact the Director if they were interested in attending the conference.
