Idaho Road Regular Meeting November 14, 2002 A regular meeting of The Board of Trustees of Apache Junction Public Library was held November 14, 2002 at 6:04 p.m. at the Apache Junction Library pursuant to notice as prescribed by law. Roll Call Present Absent Virginia Foat Pam Stoelk Beverly Kimball -Wright Theresa Nesser Stephen Flynn Joyce Payne Michael Klatt Staff: Pamela Loui, Library Director 1.Acceptance of Agenda: 2.Acceptance of minutes for October 19, 2002 regular Meeting: 3.Call to the Public: 4.Correspondence and Communications: 5.Librarian's Repbrt: The question of accepting the agenda for the November 14, 2002, regular Meeting was placed before the Board and was accepted by general consent. The question of accepting the minutes for the October 10, 2002, regular Meeting was placed before the Board and was accepted by general consent. None None Pam reported that the web catalog is now operational.Pam will be attending the Arizona Library Association Conference on December 5 and 6 and will provide an update at the next Board meeting.The Monthly Report statistics for October are as follows: Books, audio/visual, and video materials have all increased from 1 year ago. Patron visits are up from 1 year ago.We continue to weed materials that have not circulated as we continue to withdraw City of Apache Junction Library Board of Trustees Regular Meeting Page 2 6.Old Business: a.Report from the Friends of the Library with follow-up discussion on FOL projects materials due to limited shelving space. Computer classes continue to bring in a good number of people.Children's programs continue with five babytimes and 70 attendees. Ten storytimes included 208 attendees and two school visits were made with 40 in attendance.Three Family Place Parent/Child workshops and three Family Place Next Step workshops were held.A "Journaling with Amelia" event was held with 12 in attendance and four "Battle of the Books" semi-finals were conducted at various elementary schools and totaled 151 attendees.There was one RIF distribution with 93 in attendance.One TAB meeting was held with 13 attendees and the Teen Quest book discussion had seven in attendance.In addition, a Spooky Teen Outpost was held with 22 attendees. The Mystery Club leaders met with 10'in attendance.There were 4 sessions of the Writers Club with 21 in attendance.Author, Elaine Waterstrat drew 12 attendees and 5 computer classes were provided with a total of 34 attendees.A Friends of the Library recognition program was held with 22 attendees.This was a way to say thank you for all the great efforts of the members who support and work as the Friends of the Library. Carolyn Schoenfeld provided a report for the Friends of the, Library.The October luncheon included 13 members.Pam requested $1,500.00 for a display case for music cd's.The FOL has agreed to pay for this request.Funding for t -shirts was requested by Liz Burks and also approved. Two volumes in a series were purchased for the reference collection in memory of two Friends of the Library members.One entitled the "Westward Expansion"was City of Apache Junction Library Board of Trustees Regular Meeting Page.3 7.New Business a.Introduction of new Library Board members. b.Budget update. purchased in memory of Jean Perkins and the other entitled "The 1910's"in memory of Rose Lodice.A Christmas Program will be held on December 13.The Sweet Adelines are scheduled to sing at this event. Programs scheduled for this fall include: Betty Webb and Covert Bailey. The Book Nook will be having their second book sale on Saturday, November 16 from 9:00 a.m. — 5:00 p.m. The Book Nook has acquired a great deal of merchandise and are putting spending on hold until January in an attempt to clean out the current merchandise. Two FOL members went to Payson for the "Friends Make Dreams Come True" workshop.A reception is planned for January with the local newspapers.The FOL would like to create better communication with the local newspapers. A new cash register has also been purchased for the Book Nook. Stephen Flynn welcomed Joyce Payne and Michael Klatt as the newest additions to the Library Board.Joyce Payne has been in Apache Junction for 6 years.She has completed the Citizen's Leadership Institute and is happy to be a member of the Board. Michael Klatt has been in Apache Junction since 1998.He has just started participation in the Citizen's Leadership Institute and welcomes the opportunity to be part of the Library Board. Pam passed out the budget sheet that was adopted August 5, 2002.Since the adoption of this budget, Pam was asked to prepare some reductions in the budget based upon the possibility of cuts from state shared City of Apache Junction Library Board of Trustees Regular Meeting Page 4 revenues.The following cuts were made and are being implemented by the City Manager:The Library book budget will be reduced by $15,000.00. This will reduce the amount of materials we will be able to purchase this year over last year.Minor Capital Equipment has been reduced by $6,000.00. This was originally going to be used to add new public computers.We have cancelled a conference that 3 members of staff were to attend for the automated computer system that we have.This was a savings of $2,416.00.Pam has also agreed not to go to a National Conference this year. Under Maintenance of Software, we reduced $13,035.00.We will be waiting until April to migrate our system so that the costs can be split between two budget years.We have reduced library subscriptions by $11,021.00 These include electronic resources like databases that are renewed on an annual basis. We were able to add some new software like Social Issues Research services, aka SIRS and also a software program called Novelist.Novelist allows you to tell it a type of fiction you enjoy and then will come up with a list of books that fit that type. The Other Services category was also reduced by $9, 675.00 as we will delay implementing a virtual reference service at this time.The total reduction from the Library Budget is $57,147.00 c.Discussion and possible action by The Board on the topic of members who miss 3 or more meetings.Theresa Nesser discussed that Board Member, Pamela Stoelk has only attended 3 meetings in the past 9 months.Pam asked if the Board would like to send a letter to Ms. Stoelk to offer her an opportunity to sign a resignation letter.The letter will be prepared and provided to Board President Stephen Flynn for final signature.Theresa Nesser made a motion to request a letter be prepared to Pam Stoelk to provide her the opportunity to resign from the Library Board due to non-attendance of meetings.Motion City of Apache Junction Library Board of Trustees Regular Meeting Page 5 8.Request for future agenda items: was seconded by Beverly Kimball -Wright. A roll call vote was taken and passed unanimously. Old Business. Follow-up on Board member who has missed more than 3 meetings. New Business. Report on AZLA Meeting. Discussion on Patriot Act. 9.
