Idaho Road Regular Meeting February 13, 2003 A regular meeting of The Board of Trustees of Apache Junction Public Library was held February 13, 2003, at 6:03 p.m. at the Apache Junction Library pursuant to notice as prescribed by law. Roll Call Present Absent Stephen Flynn Virginia Foat Beverly Kimball -Wright Michael Klatt Theresa Nesser Joyce Payne Staff: Pamela Loui, Library Director 1.Acceptance of Agenda: 2.Acceptance of minutes for January 9, 2003 regular Meeting: 3.Call to the Public: Rhonda Jackson The question of accepting the agenda for the February 13, 2003, regular Meeting, after removal of item 7a "Welcome new Library Board member", was placed before the Board.The agenda was then accepted by general consent. The question of accepting the minutes for the January 9, 2003, regular Meeting was placed before the Board and was accepted by general consent. None. 4.Correspondence and Communications:None. 5.Librarian's Report:Tess Nesser had previously recommended that we contact the Mother Goose from the Renaissance Festival for an event here at the Library. Liz Burks has contacted her and on City of Apache Junction Library Board of Trustees Regular Meeting Page 2 Wednesday, March 19 th at 10:00 a.m. we will have Mother and Father Goose at the children's story hour.They will also be bringing a goose and a duck in costume. Liz was also able to contact someone at the Superstition Mountain Historical Society about the possibility of cooperating with the Teens and the Museum for putting together a program.In addition, Friends of the Library and Library Staff representatives met with 3 representatives of the local newspapers (AJ News, AJ Independent and the Gold Canyon Ledger).The meeting was to talk about ways to get more information into the newspaper publications for Library programs and services and for the Friends of the Library special events.This was a very successful meeting. Staff and the Friends of the Library have a better understanding of what is needed for those publications. Monthly report statistics for January show that books, audio/visual and video materials have increased from last year. Many books have been added to the collection, while about the same number of books have been withdrawn. Library programs for January included five babytime presentations with 76 attendees.There were eight storytimes with 155 in attendance.A special visit by "Winnie the Pooh" brought 213 attendees. Presentations included three sessions of Family Place with 62 in attendance and three sessions of Next Step with 21 attendees.Young Adult programs included one TAB Meeting with 14 attendees and a special tour for Superstition Mountain Mental Health teens was held with 8 attendees.Adult events included one session of the "This N' That Book" club with 7 attendees.The Eastern Dancers brought in 130 attendees and visiting author, Covert Bailey had one program with 116 in attendance.The "Dying for a Mystery" club met with 18 in attendance.Computer classes continue with seven sessions and 70 attendees and there were 11 one on one PIT City of Apache Junction Library Board of Trustees Regular Meeting Page 3 • 6. Old Business: a.Follow-up on Library Legislative Day b.Report on Volunteer recognition 7.New Business a.Welcome new Library Board member b.Discussion on Budget priorities for 2003/04 fiscal year. stops.Three sessions of the Writers Club were held with 24 in attendance.There was one Neighborhood Meeting at the Apache Junction Public Home Park with 50 attendees.There were 1,260 reference requests received for January with a total of 1,120 requests completed the same day. Pam attended Library Legislative Day on February 6.It was a good program put together by the Arizona State Library Association.Pam had an appointment with one of the Legislators, but because of a caucus, the legislator was unable to kept the appointment.Pam has spoken with the Friends of the Library about attending with her next year and she will try to get the word out even earlier next year.Pam believes that it is citizens like Library Board members and the Friends of the Library that make the greatest impact on the Legislators. Beverly Kimball -Wright attended the Volunteer Recognition event.It was a great event.Most all volunteers left with gifts in honor of their efforts and hard work. Special thanks go to Karen Rauls and Susan Walker for preparing this event. Removed from agenda. Pam provided handouts from the Adopted Budget in 2002.Since the adoption of the budget, the City administration had departments reduce their budget, with the Library cutting over $57,000.Reductions were taken in the following categories: City of Apache Junction Library Board of Trustees Regular Meeting Page 4 8.Request for future agenda items: Library Books - $15,000.Minor Capital Equipment - $6,000 (4 public access computers that were intended to add public workstations).Business Conferences — Eliminated staff members from going to the Customers of Dynix conference in November.Pam agreed not to go to the National Conference in June.Maintenance Software — Delay of implementing the Horizon software.Subscriptions — Library databases were reduced by $11,000.These are the databases available over the website using your library card.Other Services — Eliminated going forward with our virtual reference program (ability to contact a librarian over the interne°.The city is going to be experiencing over a 1 million dollar shortfall next year.The best case scenario for next year will be a 1.7% reduction in the City budget.A budget will not be presented until April or May.Pam asked the Library Board for their priorities. Stephen Flynn believes that books are most important.Beverly Kimball -Wright suggested that whatever patrons want should drive what should to be protected.Pam will continue to keep the Board apprised of upcoming budget issues.
