Idaho Road Regular Meeting March 13, 2003 A regular meeting of The Board of Trustees of Apache Junction Public Library was held March 13, 2003, at 6:00 p.m. at the Apache Junction Library pursuant to notice as prescribed by law.With both the President and Vice -President absent, Secretary Theresa Nesser conducted the meeting and appointed Virginia Foat.as acting secretary. Roll Call Present Virginia Foat Rhonda Jackson Michael Klatt Theresa Nesser Joyce Payne Staff: Pamela Loui, Library Director 1.Acceptance of Agenda: 2.Acceptance of minutes for February 13, 2003 regular Meeting: 3.Call to the Public: Stephen•Flynn • Beverly Kimball -Wright The question of accepting the agenda for the March 13, 2003, regular Meeting was placed before the Board.The agenda was then accepted by general consent. None. 4.Correspondence and Communications:None. 5.Librarian's Report:Pam reported that at the end of February, The 4A'@ AT&T (Asian Pacific Association for Advancement at AT&T) donated $1,000 to the Library.The donated money will be spent on new DVD's and books.On March 7, the Library hosted the City of Apache Junction Library Board of Trustees Regular Meeting Page 2 6. Old Business: a.Budget Update AZ CODI/HUG meeting.This meeting was for the Customers of Dynix and the Horizon Users Group.Dynix is the software used to operate the Library. Approximately 40 people attended this meeting.We have also just finished signing a contract with Dynix to migrate to the Horizon product.The transition will be made by late summer. Monthly report statistics show that books, audio/visual and video materials have increased from last year. Library programs included 8 storytimes with 151 attendees and 4 babytimes with 57 attendees.There were 4 school visits with 146 in attendance. Two Parent -Child Workshops were held with 36 attendees.Eight RIF distributions were held with 504 in attendance.There was one presentation of the Teen Chat Café with 20 attendees and one Teen Book discussion with 3 in attendance. Adult programs included one session of the "This N' That Book Club."The "Dying for a Mystery" club met with 9 attendees.There were four sessiOns of the Writers Club with 32 in attendance.A presentation on "Hucksters and Healers of Arizona" had 7 in attendance. The Folklorico Dancers brought . in 120 attendees. The Lost Dutchman Days parade had 15 participants including members of TAB, FOL and Staff There were 8 computer classes held with 89 in attendance and six, one on one PIT Stops were held: There were 3 "Neighborhoods" meetings totaling 244 attendees. There are no additional budget cuts at this time.The Arizona Legislature has not cut any more from the state -shared revenues as of this date. City of Apache Junction Library Board of Trustees Regular Meeting Page 3 7.New Business a.Welcome new Library Board member b.Friends of the Library update c.Discussion and possible vote on a Food For Fines campaign for May 2003. d.Vote to correct a scrivener error in the December 2002 minutes.From item #5 — Librarians Report "Monthly Report for December" should read "Monthly Report for November." Acting President Theresa Nesser welcomed Rhonda Jackson as the newest Library Board member.Rhonda is the Librarian at Central Arizona College.She has been a Librarian over 14 years and stated she is happy to be on the Library Board. Shirley Dewey, FOL President, reported that the Friends of the Library have been doing well this year.Revenues are up and items have been selling very well.There are more volunteers this year so staffing needs have improved. The Friends will be funding the purchase of four computers for Youth Services.They will also be providing assistance with a newly created public survey.There were 2 RIF distributions with a total of 385 books handed out at each distribution. Donation of one non-perishable food item will remove up to a dollar from an overdue fine.Food donations may not be used to cover costs incurred for damaged books. Motion was made by Rhonda Jackson to proceed with the campaign for Food For Fines.Joyce Payne seconded the motion. A roll call vote was taken and passed unanimously.Pam Loui will take the recommendation to the City Council for final approval. Motion to correct the error was made by Joyce Payne and Virginia Foat seconded the nomination.A roll call vote was taken and passed unanimously.
