Idaho Road Apache Junction, AZ 85219 Special Meeting June 26, 2003 A special meeting of The Board of Trustees of Apache Junction Public Library was held June 26, 2003 at 6:00 p.m. at the Apache Junction Library pursuant to notice as prescribed by law. With the President absent, Vice President Beverly Kimball Wright conducted the meeting. Roll Call Present Absent Virginia Foat Stephen Flynn Rhonda Jackson Beverly Kimball -Wright Michael Klatt Theresa Nesser Joyce Payne Staff: Pamela Loui, Library Director 1.Acceptance of Agenda: 2.Discussion on and approval of Library Board Annual Report: The question of accepting the agenda was placed before the Board and was accepted by general consent. Pamela Loui,Library Director,presented the Annual Report.Specific services offered through the Library .were about the same as last year. The Financial Statement is based on statistics from the Finance Department and reflects the revenues and expenditures for the General Fund (001), and the Library Fund (007) through June 24, 2003. The Library collected statistical data.The report shows reference inquiries for the year at 42,653. Interlibrary Loans show 486 items borrowed and 249 items loaned.There were 4,255 new readers registered, bringing the total registration to 31,858. Added to the collection were 6,379 book titles while 7,679 books were withdrawn and we deleted lost items totaling 1,623.We currently own 96,817 City of Apache Junction Library Board of Trustees Annual Report Page 2 titles and 104,585 holdings.A -V collections consisted of 7,455 videocassettes and dvd's and 3,582 audiocassettes.There were also 20 newspaper and 162 magazine subscriptions. Circulation of books numbered 192,152 over the past year.Start Smart circulation was 50,054.Also circulated were 237 magazines, 95,517 audios and 148,486 videocassettes.The total circulation for the year was 486,446.Additional statistics show in- house computer use at 37,744.Volunteer hours for the year were 5,075 and patron visits totaled 249,139. Pam provided a narrative on Adult Services discussing the programs that were offered to adults for this past year,including the folklorico and eastern dancing.Featured this year was our outstanding volunteer of the year,Mary Bendon. Book Discussion groups continue and computer classes are still being requested. Also mentioned is the "Long, Hot Summer Reading Club for Adults." Food for fines increased from 1,971 food items collected a year ago to 2,894 this year. Teambuilding and staff development continued this year with teams being able to meet regularly for the entire year.This allowed the employees who do the job an opportunity to be more actively involved in how the job gets done. The technical team has been very busy this year with the new website.This is also the year that we have upgraded to the IPAC public access catalog. Pam presented charts to demonstrate the growth in use of the library.These charts show an April through March year because Pam initially prepares the charts to support the Library budget request. These figures show the increase over the past 6 years for patron visits, circulation of materials and computer lab use. A variety of Youth Activities took place this year. Storytimes continued this year along with AJ Kids, a book related program for elementary school -aged City of Apache Junction Library Board of Trustees •Annual Report Page 3 children.The American Girls Tea is always a huge success and will continue.The number of "Family Place"parent/child workshops has been very successful and were increased to four workshop sessions this year.The parenting collection was doubled in size this year,expanding from just materials for parents of preschoolers to materials for parents of elementary -aged school children. "Beyond the Book" was a program created by one of our youth services employees.This program helped introduce parents and daycare providers how to use library resources."Start Smart" has also been a great success for new mothers using the Pinal County Health Department.Some of these new mothers enjoyed winning a baby quilt donated by Board Member Virginia Foat."Reading is Fundamental"continues to be sponsored by the Library and Friends of the Library.Summer programs included "Extra!Extra!Read Your Way to the Ballpark."Over 1,100 children have received their gameboards since the program began June 2 nd . Special summer events continue each Tuesday followed by summer movies each Thursday. Young Adult programs included their own reading program,"Great Books Make Great Movies." Teens earn prizes based on the amount of time they read.The Teen Advisory Board (TAB) presented several programs including a holiday play called "The Polar Express."Some summer programs included a performance by the young adult magician "Bradley the Great,"and ballroom and swing dance lessons.A youth staff member presented a candy -making workshop and a local business gave a make-up and skin care presentation for teens. As always, the FOL sponsored, in part or in whole all the special interest programs for youth andadults.In addition, the Library celebrated the 20 th Anniversary of the Friends of the Library and honored several founding members at a recognition event held in late October of 2002.
