Idaho Road Regular Meeting August 14, 2003 A regular meeting of The Board of Trustees of Apache Junction Public Library was held August 14, 2003, at 6:20 p.m. at the Apache Junction Library pursuant to notice as prescribed by law. The question of accepting the minutes for the June 12, 2003, regular Meeting was placed before the Board and was accepted by general consent. The question of accepting the minutes for the June 26, 2003, special Meeting was placed before the Board and was accepted by general consent. None. None.• PaYn revielived the.MOnthly'report.Statistics include June 1 thcptign June 24, 2003, and :JUne 25 througn July 3.1, 2603. Increases continue in every category for circulation. Patron visits haVe increa§ed and materials City of Apache Junction Library Board of Trustees Regular Meeting Page 2 continue to be added.Programs continued in June with 6 storytimes and 172 attendees, and 4 babytimes with 53 attendees.There were 8 school visits with 528 attendees. "Worm Drive, the Musical" brought in 157 attendees and the Surf Dog Concert had 180 attendees.Diamondbacks' organist Bobby Freeman provided another great show with 77 attendees as well as Jolly Roger with 208 attendees.A Red Cross Babysitting Workshop was held with 26 attendees and one RIP Distribution was held with 98 attendees.In addition, 1,369 children signed up for the summer reading program entitled "Extra, Extra, Read Your Way to the BallPark," and 595 completed the program.Three summer movies were watched with 233 in attendance.Young Adult programs included their own summer reading program entitled "Great Books Make Great Movies," which registered 188 young adults and where 104 completed the program.There was one Teen Chat Café with 21 attendees and one Teen dance lesson taught with 25 attendees.Candymaking for teens brought in 14 attendees and a makeup and skin care class was given with 17 in attendance.There were 3 computer classes with 35 in attendance. Programs for June 25 through July 31 continued with 12 regular storytimes and 266 attendees.There were 4 special storytimes held at Michaels, Arts & Crafts with 30 attendees. Six babytimes were held with 100 attendees and four school visits were held with 364 in attendance.Six film programs took place with 301 attendees and a presentation by Ronald McDonald brought in 134 attendees.There were 2 sessions of the AJ Kids book discussion with 10 attendees and one American Girls Tea with 45 attendees.Total summer reading registration was 1,867.Young adult events included 2 Teen book discussions with 13 attendees and 1 Teen Chat Café with 16 attendees.Adult events included 2 City of Apache Junction Library Board of Trustees Regular Meeting Page 3 7. Old Business:- a.Update of library budget request For 2003/04 computer classes with 21 attendees and 3 PIT stops.Four sessions of the Writers Club were held with 20 in attendance.A volunteer summer get together entitled "Pies, Pleasures, Places" was held with 23 in attendance. There were 921 reference requests received in July with 862 requests completed. The City Council adopted the budget on July 15, 2003.We did not receive all of.the staffing requested.We were able to make the part-time Library Assistant I -position a full-time position..1-terns that were reduced in this budget were:Office Supplies, Small Tools and Equipment, Minor Capital Equipment, Other Operating Supplies, Personnel Services and Conferences and Training. Audio -Visual Materials were funded at a higher level then last year. Library Books were maintained at the same level as last year. Architectural engineering services money approved will be used to work with a firm to start the planning when the Senior Center moves and we are able to remodel and add-on to that space.The Subscriptions account was left alone.This year we are hoping to increase subscriptions by increasing the number of online databases.We believe it will make a big difference in the community for patrons to be able to access databases from the comfort of their homes.Special contractual services deals with our interlibrary loan and ongoing Marcive authority work.Other Services covers licenses for copyrighted motion. pictures so we are able to show films in the summer.. Capital Outlay deals with a copy machine we hope to purchase before the end of the year.The Library donatiOns account is an arbitrary figure that is plugged into the budget.It allows us to to expend funds if we get a request for any kind of large gift. This is also where money distributed to us from the Pinal County Library goes that • City of Apache Junction Library Board of Trustees Regular Meeting Page 4 8.New Business: a.A library patron has requested that the Board reconsider video renewals, and may attend the meeting to present views to the Board.The Board may wish to discuss the issue and possibly vote if the patron does attend the meeting. b.Election of Officers. c.Meet Library staff member d.Discussion on implementing a patron charge for failing to pick up a requested Interlibrary loan. allows us to purchase materials to serve residents of the county. Since the patron did not attend,no action was taken by the Board. A motion was made by Theresa Nesser to table this item to the September 2003 meeting.Motion was seconded by Rhonda Jackson.A roll call vote showed all members present were in favor. Meet Susan Walker, Head of Adult Services. Susan runs the computer lab and handles the ordering of fiction books and all books on tape or cd.Susan has been with the Library for over 5 years and has a Masters Degree in Library Science and Adult Education. Susan handles all the adult programming which includes cultural and literature events such as belly dancers, folklorico dancers, and adult summer reading.Susan is also in charge of working with the volunteers and acknowledging their great contributions to the Library. Pam discussed the concern of a staff member regarding Interlibrary loans requested by patrons who fail to pick them up.By putting a charge in place for failing to pick up the book we could encourage them to return to pick up their request.It was suggested that the amount be $1.00, the same as for an overdue interlibrary loan. A motion was made by Rhonda Jackson to . City of Apache Junction Library Board of Trustees Regular Meeting Page 5 implement a $1.00 fine for any patron who fails to pick up an interlibrary loan.Motion was seconded by Theresa Nesser.A roll call vote showed all members present were in favor. 9.Request for future agenda items:Old Business. Election of Officers. 10. Adjournment: New Business. Presentation and discussion on proposed "Planning For Results" process to develop a new 3 to 5 year library plan. Meeting adjourned at 7:37 p.m.
