Idaho Road Regular Meeting September 11, 2003 A regular meeting of The Board of Trustees of Apache Junction Public Library was held September 11, 2003, at 5:59 p.m. at the Apache Junction Library purSuant to notice as prescribed by law. Roll Call Present -Absent Stephen Flynn Virginia Foat Rhonda Jackson Beverly Kimball -Wright Michael Klatt Theresa Nesser Joyce Payne Staff: Pamela Loui, Library Director 1.Acceptance of Agenda: 2. OLD BUSINESS a.Election of Officers. The question of accepting the agenda for the September 11, 2003, regular Meeting was placed before the Board.A motion was made by Rhonda Jackson to move item 6a. to the next item on the agenda following item 1. Motion was seconded by Joyce Payne.A roll call vote showed all members present were in favor. Joyce Payne nominated Virginia Foat for position of President with a second from Theresa Nesser.Virginia Foat accepted the nomination.A vote was taken and passed unanimously. Beverly Kimball -Wright nominated Rhonda Jackson for Vice- President with a second from Virginia Foat. Rhonda Jackson accepted the nomination. A vote was taken and passed unanimously. Beverly Kimball -Wright nominated Michael Klatt for office of Secretary, but Mr. Klatt City of Apache Junction Library Board of Trustee's Regular Meeting Page 2 3.Acceptance of minutes for August 14, 2003 regular Meeting: declined because of work scheduling problems he might be encountering.Joyce Payne nominated Beverly Kimball -Wright for Secretary with a second from Michael Klatt.Beverly Kimball -Wright accepted the nomination.A vote was taken and passed unanimously.Virginia Foat chaired the rest of the meeting. The question of accepting the minutes for the August 14, 2003, regular Meeting was placed before the Board and was accepted by general consent. 4.Call to the Public:None were present. 5.Correspondence and Communications:None. 6.Librarian's Report: 7.New Business: Pam reviewed the monthly report.Increases continue in most categories.There was a decline in patron visits and in-house computer use, possibly due to the recent gas shortage. Library programs included 4 babytimes with 68 in attendance and one Headstart Early Intervention with 20 attendees.Young Adult programs included one TAB meeting with 9 in attendance and one Library Team party with 16 attendees. Thirty two participants completed the Adult Summer Reading Bingo and there were four sessions of the Writers Club with 20 attendees. a.Meet Librarj,staff member Meet Karon Tilton, Library Assistant II. Karon has worked part-time for the Library Since 1984, starting as a clerk typist.Karon spends 2 hours a week assisting the Circulation team, helping with check -ins and working at the front counter.Karon also works with the Technical Services team and catalogs on a regular basis.She processes new, best sellers, prepares requisitions to order books and other items within the library and resolves problems with vendors. City of Apache Junction Library Board of Trustees Regular Meeting Page 3 b.Presentation and discussion on proposed "Planning For Results" process to develop a New 3 to 5 year library plan. 8.Request for future agenda items: Karon also assists in sorting the mail and working on donations when possible. Pam gave handouts on the Planning process for the Library.She explained why it is necessary to develop a new 3 to 5 year plan. The New Planning for Results process will show us how to best use the Library to accomodate the changing needs of today.A Planning Committee will be assembled and various members of the community will participate on the committee.This committee will meet 3 times over the course of the process and staff will prepare the action plan when the Committee's work is completed.The process should take approximately 6 months to complete and should be ready to present to Council in• April.The idea will be to use the goals and objectives agreed upon by committee and staff members over the next 3 to 5 years. Pam will work with the Board to put together members of the committee.An experienced facilitator paid for by the State Library will also be on hand to provide assistance with the process.Motion was made by Rhonda Jackson to proceed with the "Planning for Results" process.Motion was seconded by Theresa Nesser.All members present were in favor. Old Business. Update on "Planning For Results" process. New Business. Amnesty for patrons in December. Meet Library Staff Member. Friends of the Library update.
