Idaho Road Regular Meeting January 8, 2004 A regular meeting of The Board of Trustees of Apache Junction Public Library was held January 8, 2004 at 6:01 p.m. at the Apache Junction Library pursuant to notice as prescribed by law. Roll Call Present Absent Virginia Foat Beverly Kimball -Wright Rhonda Jackson Theresa Nesser Joyce Payne Staff: Pamela Loui, Library Director 1.Acceptance of Agenda: 2.Acceptance of minutes for December 4, 2004 regular Meeting: 3.Call to the Public: 4.Correspondence and Communications: Michael Klatt Stephen Flynn The question of accepting the agenda for the January 8, 2004, regular Meeting was placed before the Board.Theresa Nesser made a motion to accept the agenda.Rhonda Jackson seconded the motion and it was unanimously accepted by a voice vote. The question of accepting the minutes for the December 4, 2004, regular Meeting was placed before the Board. Joyce Payne made a motion to accept the minutes.Beverly Kimball -Wright seconded the motion and it was unanimously accepted by a voice vote. Louis Babin introduced himself to.the Board.He is currently on the Planning and Zoning Commission and has accepted an invitation to serve as a member of the Planning for Results Committee. None. 5.Librarian's Report:Increases continue in most categories.We continue to register new borrowers.Many - City of Apache Junction Library Board of Trustees Regular Meeting Page 2 '6. OldStisineSs:' 7.New Business: a.Meeting library staff member. b.Teen Advisory Board update. new books have been added as well as videocassettes and dvd's.There were 310 volunteer hours for December.Children's programs included 4 babytimes with 56 attendees and 1 holiday storytime with 59 in attendance.The young adult programs included a Teen Christmas program entitled "Holiday Gift." There were 4 presentations with 375 attendees.Adult events included Dying for a Mystery with 12 attendees and the "Here and There Book Club" with 7 attendees.Three sessions of the Writers Club took place with 21 attendees.There were also 4 computer classes with 38 in attendance.There were 7 one-on-one PIT stops and 1 presentation to the Roadhaven Computer Club with 27 attendees. None. Bonnie Lopez — Library Assistant.Bonnie has been with the Library for 11 years. Bonnie is part of the reference team but she also works all 4 of the public service desks. Bonnie helps Susan Walker oversee the lab and will often work the lab desk when lab staff is unavailable.Bonnie handles the government documents collection.We are a government document depository and receive a very small selection of print materials.Bonnie also helps Susan with some of the Adult Services programs. Bonnie was an intern with the Mesa Community College Library Technician program and did an internship with the library before she started full-time. Mitchell Rinsel is the President of the Teen Advisory Board.The most recent event put on by the TAB group was the holiday program entitled "A Christmas Gift from TAB."There were 2 performances for Four Peaks Elementary and K-3.There were also City of Apache Junction Library Board of Trustees Regular Meeting Page 3 c.December Amnesty update. d.Discussion of number of confirmed participants for the Planning for Results Committee and vote for authorization for the Library Director and staff to attempt to fill openings. 2 public events. The Teen website has been established and can be accessed through the Library's homepage. Summer events included a dance program, makeup workshop and a candy and chocolate making workshop.At the end of the summer an ice cream party was put on for the new members of TAB.TAB currently has 18 members.A new officer's chair was created as a Committee Program Director.This year the TAB group will be featured in a book about Teen Advisory Boards and how to get one started.In October the Teen Chat Cafe held a Costume contest which received a full page display of the winners in the newspaper.Future events include the upcoming Lost Dutchman Day's parade float.The Teen Chat Café will continue. TAB is brainstorming for ideas for Teen programs and would alsolike to make some additions and changes to the Teen Compound including some couches or chairs to make it more comfortable. Library Board members asked if there was any way to tell what kind of impact amnesty had.There was no way to get any kind of a count.We do know that we received a few books back that had already been taken out of the system.Pam did compare December 2002 fines with the fines from December 2003 and found the difference to be more than $900.Due to the increase in circulation and use in the past year however, community members probably saved at least $1,200.00 in fine monies. Two people recommended by Theresa Nesser from the original list for the Planning for Results Committee are unable to attend. Theresa was able to find some additional City of Apache Junction Library Board of Trustees Regular Meeting Page 4 e.AZLA Conference update. f.Set special meeting date and time in January for Planning for Results update. g.Reminder of the Library Legislative Day,February 5, 2004 people to serve on the Committee.The names are:Doree Sharp and Louis Babin. Tera Leigh from Head Start was available to replace Susie Hernandez from Head Start when it was found Susie had a scheduling conflict.Pam recommends that the Board approve these names as members of the committee. Motion was made by Theresa Nesser to accept the 12 names that were previously presented plus the 3 new names that Pam named to be the 15 members for the Planning for Results Committee. Rhonda Jackson seconded the motion.A roll call vote showed all members present were in favor.• • Pam attended many Ariiona.Library Association' Conference session's but reported on only 2 sessions from the AZLA Conference."Alternative Marketing" and "High Impact Budget Presentations." Several staff members attended and received great information.Pam encourages interested Library Board members to attend the AZLA Conference next year. Motion was made by Rhonda Jackson to meet on January 16, 2004 at 6:30 p.m. to discuss a Strength, Weaknesses, Opportunities and Threats analysis (SWOT) on the service responses that the Planning for Results Committee would be selecting. Motion was seconded by Theresa Nesser and was unanimously accepted by a voice vote. Liz Burks will be attending the Library Legislative Day as Pam will be meeting with the Planning for Results Committee on this day.Board members were told to please contact Liz if interested in attending.This event is located in downtown Phoenix at the Capitol.
