Idaho Road Regular Meeting February 12, 2004 - A regular meeting of The Board of Trustees of Apache Junction Public Library was held February 12, 2004 at 6:01 p.m. at the Apache Junction Library pursuant to notice as prescribed by law. Roll Call Present Absent Virginia Foat Beverly Kimball -Wright Michael Klatt Rhonda Jackson Stephen Flynn Theresa Nesser Staff: Pamela Loui, Library Director 1.Acceptance of Agenda: 2.Acceptance of minutes for January 8, 2004 regular Meeting: 3.Acceptance of minutes for January 16, 2004 special Meeting: Joyce Payne • The question of accepting the agenda for the February 12, 2004, regular Meeting .was placed before the Board.Rhonda Jackson made a motion to accept the agenda. Stephen Flynn seconded the motion and it was unanimously accepted by a voice vote. The question of accepting the minutes for the January 8, 2004, regular Meeting was placed before the Board. City of Apache Junction Library Board of Trustees Regular Meeting Page 2 4.Call to the Public:None. 5.Correspondence and Communications:None. 6.Librarian's Report:We .continue to see increases in our regular book circulation.Audio material figures are lower than 1 year ago because of the way the new system counts by title rather than by piece.Videos continue to increase in use. Patron visits have also increased.We continue to withdraw from the collection as the need arises.Volunteer hours are high this. past month with year-round and winter visitor volunteers. Programs continued with 8 storytimes and 171 attendees.There were 5 babytimes with 78 in attendance. Presentations included one HeadStart Parents Computer Training with 21 in attendance andtwo Parent/Child workshops with 35 attendees. ,There, was one Teen Book Qiscussion .With 14 attendees and one Teen chat Café with 13 in attendance. •Adult events included a '`Here and There Book Club" with 11 in attendance and one volunteer recognition event with 70 attendees.The Writer's Club held 4 sessions with 25 attendees and there was one Mystery Book Discussion with 14 in attendance.There were 11 computer classes with 114 attendees and 12 one-on-one PIT stops.There was one meeting at the Pueblo RV Neighborhood Park with 45 attendees and one meeting at the El Dorado Mobile Home Park with 75 attendees.The • Quarterly Reference Survey was conducted the week of January 26 th thru January 31'. There were 1,654 requests received and 1,427 requests completed on the same day. • Hardcopy responses totaled 1,014 and online responses were 413. Old Business: a.Planning for Results Committee update and possible vote on selected library service responses. b.Update on the CDBG grant. Rhonda .Jackson spoke as the representative for the Planning for Results Committee. The final recommendations chosen by the Committee were General Information, Current Topics and Titles with an emphasis on collections, and Life Long Learning with an emphasis on maintaining the current level of programming.If there are changes made in programming for Life Long Learning, the chosen target audience should be 0-6 years in all types of programs and over 60 for computer -based workshops and other programming that has to do with technology used at the library.Motion was made by Theresa Nesser to approve the final recommendation of the Planning for Results Committee.Stephen Flynn seconded the motion.All. members present were in favor. This is the Community Development Block Grant special project that the Library had proposed and that the Health and Human Sevices Commission had forwarded to the City Council along with the transportation project for several nonprofit groups.The Council received extremely strong support for the transportation project and did choose to make it their top priority project to go forward.They talked about whether or not a later application might be appropriate for the Library because the library project would be tied in part to the completion of the Multigenerational center..Pam agreed that it seemed reasonable to delay. The Council went ahead and voted to recommend that the library project be the secondary project. Staff is going back and asking questions to see if this is something they want to do because there may be more involved than when the project was first started.There will need to be some clarification to see City of Apache Junction Library Board of Trustees Regular Meeting Page 4 c.Update on Library Legislative Day. 8.New Business: a.Meet library staff member: whether or not it is best to try to go forward as a secondary project this year or to try to do something where it may be a higher priority next year.If we could have done the project as first outlined it would not have been difficult to put it forward as a secondary project. Due to some extra requirements including an environmental review, it did become more complicated and we do want to make sure the Council wants to see us spend that time before we go on with it. Liz Burks went to the Library Legislative Day.The State Librarian and the President of the Arizona Library Association were in attendance.The Speaker of the House and the President of the Senate also attended. Both gave remarks.They like libraries, books and reading but there are budget shortfalls and these are tight times.They cannot promise anything for this year but if they can keep everything in line possibly next year there will be something they can do.The Executive Director of the Arizona Legislative Council explained how a bill goes through and the politics involved.Two lobbyists talked about the library legislative goals. The goals are to not take anything away.Liz took a packet to Rep.Cheryl Chase.Ms. Chase was in Washington D.C. and the packet was left with her assistant. Liz was able to catch Sen. Pete Rios at lunchtime and spoke to him about libraries and why it was so important to keep the funding.He very strongly supports libraries. Liz says that she can see how important it is to have lots of people at Library Legislative Day.You have a great Presence if you have a large number of people. Judy Hoxsey — Judy works part-time at the reference desk answering. patron questions. She also selects the non-fiction books for the City of Apache Junction Library Board of Trustees Regular Meeting Page 5 b.Friends of the Library update. adult collection by reading review sources and checking patron inquiries.Judy catalogs all the audio books and music cd's. Judy has a Masters Degree in Library Science which she earned in 1969 from Denver.She has 25 years experience as a librarian and served as a Library Director for 16 1/2 years.Judy took early retirement in May of 1998 from the Estes Park Public Library in Colorado.She moved here to Apache Junction and enjoys working at the library very much. Shirley Dewey is the President of the Friends of the Library.She recently served on the Planning for Results Committee. Membership has increased and has helped staffing in the Book Nook.More people are there for longer hours.The Book Nook is now staffed from 9:00 a.m. -3:00 p.m. on Monday, Wednesday and Friday and Tuesday and Thursday until 5:00 p.m. There are not as many donations of books being made so it looks like there will probably only be a fall sale in October. Three members of the FOL attended the Oasis gift show. This gift show is held twice a year and is where items are bought for the Book Nook.More items have been purchased and Shirley invited everyone to stop by and check it out.The RIF book distribution is going very well.FOL are funding all of the summer reading programs. Battle of the Books will be held again this year.Hours of volunteering are going up. There are approximately 145 members; however, not all members are active. Approximately 25-30 are really active and about 8-10 come to the board meetings. 9.Request for future agenda items:Old Business. Planning for Results Committee update. New Business.
