HomeMy WebLinkAbout2004-04-08 Library MinutesCITY OF APACHE JUNCTION LIBRARY BOARD OF TRUSTEES 1177 N.,Idaho Road Regular Meeting: April 8, 2004 A regular meeting of The Board of Trustees of ApaChe Junction Public Library was held April 8, 2004 at 6:05 p.m. at the Apache Junction Library pursuant to notice as prescribed by law.With both the President and Vice -President absent a motion was made by Joyce Payne that Stephen Flynn conduct the meeting.Michael Klatt seconded the motion.The roll call vote was unanimous, so the motion carried. Roll Call Present Beverly Kimball -Wright Stephen Flynn Michael Klatt Joyce Payne Theresa Nesser Staff: Pamela Loui, Library Director 1.Acceptance of Agenda: 2.Acceptance of minutes for March 11, 2004 regular Meeting: 3.Call to the Public: 4.Correspondence and Communications: 5.Librarian's Report: Absent Virginia Foat Rhonda Jackson The question of accepting the agenda for the April 8, 2004, regular Meeting was placed before the Board.The agenda was then accepted by general consent. The question of accepting the minutes for the March 11, 2004, regular Meeting was placed before the Board and was accepted by general consent. None. Pam handed out invitations to Board members for the TAB recognition event scheduled for April 20 th at 7:30 p.m. Pam notified the Board that pictures for the Annual Report will be taken at the May meeting.Increases continue in most categories over one year ago.Programs continue with eight storytimes and 158 in City of Apache Junction Library Board of Trustees Regular Meeting Page 2 6.Old Business: a.Budget update for 2004/05. b.Update on Planning for Results Library Plan. 7.New Business: a.•Meet library staff member: attendance.There was 1 Mother Goose/Father Gander storytime with 72 attendees and four babytimes with 66 in attendance. There were eight RIF distributions with 262 attendees and 1 Suessentennial Party with 130 in attendance. The "Plant a Seed READ" program began March 15 th and registered 124 as of March 31 St.Young Adult programs included the Teen Chat Café and Tab meeting with 13 attendees each.The Teen Book Discussion drew 8 attendees.Adult Events included the "Here and There Book Club" with seven attendees and the "Dying for a Mystery Book Club" with 8 in attendance.There were 4 sessions of the Writers Club with 25 attendees.There were 13 computer classes with 120 attendees.There were 11 one-on- one PIT stops. Pam has met with budget committee members.No information has come back to us yet.There will be some cuts because the City has received a 33% increase in the cost of health insurance. Pam presented a color photocopy of the Library Plan to the Board. The Library Plan will be presented to the Council at the next worksession on April 19 th and on the consent agenda of April 20`11 for the Council to acknowledge receipt of the plan. Anthony Fitzwater — Anthony is a Library Computer Technician.He fixes computers when there are problems.He also works with Cybraryn, the program that allows users to get on a computer using their library card. Anthony designed and developed the Library website and teaches computer classes.Anthony has been here for 6 years. He started as a Computer Lab assistant teaching the basic computer classes. Pam handed out the paper that is given to patrons who sign up for a new library card. It has hours of operation, library card information, card limits, loan periods, renewals and fines, book drop information, interlibrary loan information, reserves, donations, computer lab, copy machine, Friends of the Library and volunteer opportunities.Patrons are told that they can check out only 3 items on their first visit. After that, the limit is 15.Videos have a limit of 6 per household. Patrons must have proof of address on their second visit if they do not bring it in on their first visit. c.Discussion on time limits of using computers. d.Discussion on utilizing the kitchen after expansion to offer coffee/donuts to patrons. Theresa Ness& pointed Out a time -that she had come in to, use a .computer after the CybrarYn systerri -vas in place.She needed more firlie on the computer3but was not sure what she shoillizi dO.Pam said that while we do not make Patrons d'wareof, it, a computer lab assistant can override the system and give additional time if no one is waiting. We do not want to advertise the fact that the system can be overridden since we want the public to try to stay within the time limit, currently set at 1 hour. Pam has seen this at other libraries.Usually it is the Friends of the Library who handle this.We would have to ask the members of the Friends of the Library if they are willing to do this.Pam would like to see this done in the future. When our architects are on board we will discuss this issue with them. City of Apache Junction Library Board of Trustees Regular Meeting Page 4 e.Discussion on having staff wear vest or identifying apparel when working in the stacks for patrons to recognize them as library employees. f.Information and discussion on RFID (radio frequency identification) and its utilization in libraries. g.Setting of date and time in June for Special Board meeting to discuss and approve the Library Board Annual Report. • --Pam,diSeu*d that sonie staff currently wearicity..enwloStee'shirts.We have not been able to find vests by looking at catalogs.Michael Klatt recommended 2 vendors, Aramark and Todd.We will continue to search catalogs to find something appropriate to present to staff. Pam discussed RFID tags.RFID is a great idea but there are currently too many manufacturers of tags. We need a standardized product.RFID tags are used heavily in retail outlets.RFID is used to scan for inventories -and counting of items.We are currently looking at. the 3M company because they are working on a read/writable tag.The tag replaces the information in a barcode and allows you to add additional information to it. You can tell if an item is or is not checked out.The cost of these tags is very high.We believe that once tags are standardized the price will drop and they will become more affordable. Pam requested that the Special Board meeting be set for June 29, 2004 at 6:00 p.m.Theresa Nesser made a motion to hold the Special Board meeting on June 29, 2004 at 6:00 p.m. Stephen Flynn seconded the motion and it was unanimously accepted by a voice vote.
