Present Hammer, Margaret' Lewis, Eleanor Pierce, -Dwight Polomskey, Alice Absent Guests Eldridge, Hazel Forsberg, Ruby Hiller, Jan Staff Present:Pamela Loui, Librarian Presiding: Jan Hiller, President. 1.Acceptance of agenda: 2.Acceptance of minutes for January 3, 1984: 3.Librarian report: 4.Old Business: A. Job descriptions B. Library Shelving Dorothy Daniels, President, Friends of the Library. A motion was made by Margaret Hammer to accept the agenda as presented, and seconded by Dwight Pierce and passed unanimously. A motion was made by Dwight Pierce to accept the minutes for January 3, 1984 seconded by Margaret Hammer and passed unanimously. Pamela Loui, Librarian, reported that circulation of books, paperbacks and other materials had increased measura- bly in January over January of last year.During the month, 133 new read- ers were registered.She gave a finan- cial report indicating that expenditur( s so far are well within the total bud- get. The Librarian said the state lib- rary is working on a public relations program, general enough to be effectiv( in small or large cities.With a logo stating, "It's Okay To Get Smart With Us", the program, to be presented thr- ough electronic and other news media, will alert the public to services of- fered by their libraries. A motion was made by Dwight Pierce to table a discussion of job descriptions because some interested members of the board were absent.The motion was se- conded by Margaret Hammer and passed ux -animously. .Pamela Loui said she had not found any bargain shelving to hold donated books and had priced good shelving, but founc it quite expensive.The board agreed the best plan would be to obtain shelv- ing materials and ask city workers to build the shelves.Alice Polomskey said, if her contractor is still in th( city, she will try to get him to pur- chase what is needed at cost.She wil] report back. Eleanor Lewis, who presided at the meel ing,pointed out the importance of a- biding by the law in every respect. Board members present, agreed. The By-laws for the Apache Junction Library Board of Trustees were review- ed.Special attention was given to Section 3 of Article III, which declar- es a vacancy of position for a board member missing three monthly meetings in succession.Because of a failure o: the board to get a quorum of members tc conduct business in recent months, board members present, said they felt the rule should be carried out."I feel we should enforce it said Mrs. Lewis.Others present agreed. A motion was made by Alice Polomskey asking the Library Board President to appoint a committee of three members tc serve asliaison and work with the city on plans for a new library building. The motion stated that those interestec should contact the president,the mot- ion was seconded by Dwight Pierce and passed unanimously. Dorothy Daniels, President, Friends Of The Library, asked that her organizatior be given a "more defined role" on how members can best serve the library. She said the Friends will hold a book sale to raise funds February 10th to the 12th from 9 a.m. to 5 p.m. in the corner building of Superstition Plaza. The Episcopal Church donated 12 tables for use during the sale. The Friends, with a membership of 27, is in need of additional members to help plan and carry out projects to aid the library, Mrs. Daniels said. She said the Friends are talking about conducting a community study to deter- mine age populations, jobs, who uses the library and their likes, dislikes and interests.Such a study would prove valuable if a new library is con- structed, she said. 6.Call to the public:No response. Librarian's report: 8.Adjournment: APPROVED BY: A motion was made by Margaret Hammer tc authorize the librarian to make finan- cial reports to the board quarterly in- stead of monthly; seconded by Dwight Pierce.The motion stated that finan- cial reports should be on file for in- spection in the library at all times. The motion passed unanimously. A motion was made by Alice Polomskey tc &djourn, and was seconded by Margaret Hammer.
