HomeMy WebLinkAbout1984 03-06 Library MinutesCITY OF APACHE JUNCTION LIBRARY BOARD OF TRUSTEES Regular meeting March 6, 1984 A regular meeting of the Apache Junction Library Board of Trustees was held pursuant to notice as prescribed by law. Present Forsberg, Ruby Hammer, Margaret Hiller, Jan Lewis, Eleanor Pierce, Dwight Polomskey, Alice Absent Guests Eldridge, Hazel Jensen, Lois, Friends of the Library. Sanchez, Kenneth Staff Present:Pamela Loui, Librarian. Dorothy Sanchez, Assistant. Presiding:Jan Hiller, President. 1.Acceptance of agenda: 2.Acceptance of minutes for February 7, 1984: 3.Librarian report: 4.Old Business: A.Job descriptions. B.Shelving. A motion was made by Ruby Forsberg to accept the agenda as presented, and seconded by Alice Polomskey. A motion was made by Dwight Pierce to accept the minutes for February 7, 1984; seconded by Margaret Hammer. Pamela Loui reported that circulation was up from a year ago but down slightly from Febru- ary, due to road work on Idaho Road at the ac- cess to the library. She said a puppet workshop at the library drew considerable interest with a good attendance, and she said other public programs are in the making. A motion to accept the librarian's report was made by Margaret Hammer and seconded by Ruby Forsberg. Pamela Loui presented revised job descriptions for library support personal and urged adoption so she could use them in plans for keeping a temporary assistant whose assignment ends soon. Jan Hiller asked for a motion to table discus- sion until the April meeting when more members are in attendance." Alice Polomskey said she had read the original descriptions given the board in January and had read the revised ones and could see no rea- son why action should not be taken since only one board member was absent. A motion was made by Dwight Pierce to table the discussion. The motion was seconded by Eleanor Lewis. Pamela Loui reported the lumber for shelving to house donated books had been received and city workers were expected to build the shelving very soon.(It was brought to the library by Kirby Knoy, contractor, who obtained it at wholesale cost and took time off his work to bring it to Apache Junction) CITY OF APACHE JUNCTION LIBRARY BOARD OF TRUSTEES Regular meeting March 6, 1984 Page 2 C.Report on expiration date of Board members' terms in office. Pamela Loui gave each board member a typed in- formation sheet giving the names, addresses, telephone numbers and expiration date of office for the board members. Jan Hiller explained the open meeting law and Roberts Rules of Order as they applied to board members, adding that it is the responsibi- lity of each member to adhere strictly to items on the agenda during any of the board meetings. Jan Hiller named Eleanor Lewis, Margaret Hammer, and Hazel Eldridge to serve on an architectural study committee for the proposed new library. Margaret Hammer proposed a monthly news column about the library and its activities, and read one she had written. A motion was made by Eleanor Lewis that items or stories about the library and its activities be submitted monthly for publication.The motion was seconded by Ruby Forsberg. A motion was made by Dwight Pierce, that the remaining money in the capital improvement budget be spent for books and reference materia: ,and was seconded by Margaret Hammer. Pamela Loui asked that the temporary position held by one library assistant be made permanent, and that she be provided with the services of a typist.She said that the book budget was "sorely inadequate this year" when compared witl those of other communities of similar size.Th( reference library also is in desperate need of books and other reference works, she said. A motion by Margaret Hammer to delete the 7 -day circulation period from the circulation policy and from the volunteers' manual was seconded by Dwight Pierce. A motion was made by Alice Polomskey to strike discussion of the preparation of formal motions for the library board agenda and seconded by Ruby Forsberg. Eleanor Lewis and Margaret Hammer, who toured libraries in the valley along with city offi- cials, reported they gained many ideas which can be considered in studies for a proposed new Apache Junction library building. A motion was made by Eleanor Lewis to tape- record meetings of the board, and was seconded by Margaret Hammer, beginning with the April meeting. Pamela Loui presented board members with button: and book marks advertising a state-wide public relations program based on the slogan, "It's OK To Get Smart With Us."She said radio and tele- vision spots will bring to public attention the many services offered and available to citizens by their libraries. A motion was made to adopt a set of rules to be followed by citizens Using library facilities by Eleanor Lewis and seconded by Dwight Pierce. Lois Jensen spoke briefly, saying that she founc the session interesting. Kenneth Sanchez said obtaining helium gas to inflate the balloons should not be a problem. A. Budget update. B. (Board members asked to be notified of impendinc budget hearings by the city.They also author- ized a special meeting, specifically to conside: budget items,if it is needed before the regu- lar April meeting. A motion was made by Jan Hiller to adjourn and was seconded by Dwight Pierce. The meeting was adjourned at 8:06 p.m.
